Job Description

The Registrar & Lead Art Preparator works in tandem with the Director and Sales Associate and supervises other art handling technicians to facilitate the safe keeping, transport and display of all artworks in our care. This role will be responsible for ensuring both digital and physical inventory management policies are adhered to for the storage of Gallery inventory. They will establish and build a resource of art handling contract workers, setting the standards of care for all artwork on our premises and in our Gallery.

Requirements:

Job Duties and Responsibilities

  • Artwork intake processes, including: condition reporting, documentation, entering artwork information into Arternal database and/or reaching out to Artist(s) to gather this information

  • Assigning and tracking locations of artwork in the Arternal database and overseeing periodic inventory checks to maintain accurate location records

  • Coordinate the release and receipt of shipments from Artist(s),Client(s), Art Fair(s), and Institution(s); acts as the primary contact for entry into storage space; arranges transport and all logistics surrounding artwork 

  • Handle, pack, unpack, store, install, and de-install artwork of all types according to Gallery standards onsite and at offsite locations (ie. Client home/office)

  • Sourcing, building, and overseeing the design and fabrication of exhibition design such as plinths, bases, vitrines, mounts, all hardware and painting/wall treatment needs

  • Support Director and Sales Associate by preparing artwork for shipping and coordinating quotes and booking art transportation services

  • Maintain cleanliness and orderliness of art onsite and offsite storage areas for the safety of personnel and art objects, and monitors environmental conditions in all Gallery and storage areas and where art is located

  • Assist in Client visits/showings

  • Willingness to work outside of normal hours to receive art shipments and assist with installations

  • Communicates via email, telephone, and/or other manners with shipping, storage and transportation companies, artists, clients, vendors, other museum professionals, as well as the public, in a professional manner.

  • In conjunction with the Director, assist in preparation and management of annual exhibition budget, which includes assessing contract technician needs and materials budget allotments for installations and de-installations onsite and special/off-site exhibitions

  • Oversee, in collaboration with Co-owners and Gallery Director, installation and deinstallation exhibition schedules

  • Attend All Staff and Fulfillment meetings and provide constructive feedback with regards to best practice art handling, shipping, art storage and installation

  • Maintain confidentiality and professionalism within or outside the gallery at all times

  • Manage and recruit contract art technians’ schedules for onsite exhibitions and off-site at Art Fairs and provide clear direction, regular feedback, and appropriate support to staff as needed to succeed in their jobs

  • Foster staff behaviors and attitudes consistent with the gallery’s mission, core values, and desired organizational culture

  • Other duties as assigned

 

• 50% percent time spent sitting at the computer

• 50% percent time on feet actively supporting inventory and exhibitions

• Some carrying and lifting up to 25 lbs

• Ability to use small tools

• Ability to stand on ladders and reach up high and down low

• Work alone if necessary

• Ability to prioritize tasks in a fast-paced environment

• Class G Driver’s License

• Access to personal vehicle is an asset
