Women in Film & Television – Toronto (WIFT-T) is a member-based organization of individuals working in screen-based media that supports the development and advancement of women in the industry.

This is an excellent opportunity to work in a fast-paced and collaborative environment and to flex your well-developed coordination, organizational, creative-thinking and people skills.

The Program & Special Events Coordinator will handle all logistics relating to WIFT-T’s year-round professional development programs including speaker series, courses and mentorships. They will also take the lead on WIFT-T’s annual high-profile special events: WIFT-T Showcase (April); Reception@TIFF (September) and the Crystal Awards Gala (December), and others where required.

Key Responsibilities

  • Assist Head of Programming with all program logistics and administration including scheduling, venue booking, and content materials management
  • Liaise with program participants and program speakers and create and disseminate content materials for programming initiatives
  • Create online program registration for programs and events
  • Create and manage program and special event critical paths
  • Act as the lead contact with external program and special event venue staff to manage event logistics, catering and Banquet Event Orders (BEOs)
  • Attend programs and events as needed and assist Head of Programming and Executive Director with on-site logistics
  • Coordinate and oversee program and event volunteers



  • A minimum of 2 years of special event coordination experience, preferably in the arts
  • Excellent time-management, multi-tasking, and organizational skills
  • Excellent verbal and written communication skills
  • Ability to prioritize successfully and thrive in a fast-paced environment
  • Strong problem-solving and troubleshooting skills
  • Proficient with Microsoft Office, especially Excel, on a PC platform
  • Must be able to work occasional evenings, early mornings and weekends


  • Knowledge of and passion for the Canadian screen based industry
  • Experience working in a non-profit organization
  • SmartServe certified
  • An interest in WIFT-T’s mandate
