Job Summary

We are looking for a driven, efficient, and dynamic person to fill the position of Office Administrator. This is an ideal opportunity if you are looking to gain hands-on experience in a busy auction house environment. Generally, the ideal candidate will have strong organization and effective verbal and listening skills, can multi task quickly and handle stressful and fast past environments.

Responsibilities include:

• Meeting and greeting clients.• Answering incoming telephone calls, determining purpose of calls, forwarding calls to appropriate personnel or department, and taking messages.• Responding to and managing emails.• Recognizing both new and established clients.• Creating appointments and maintaining office calendar.• Handling shipping for buyers who request it.• Liaising with shippers regarding pick-ups.• Ordering, receiving, and maintaining office supplies.• Managing flow during auction day.• Assisting with preview days.• Addressing any technical-related issues.• Closing batch daily.• Updating outgoing voice messages.• Keeping front area neat and tidy.• Carrying out tasks as requested by principals.

Administrative duties:

• Entering new client information into database on auction days and throughout the year and maintaining and building client database.• Checking out bidders post auction using POS system.• Creating lot labels for auction.• Maintaining filing systems – both electronic and paper files.• Receiving, sorting, and routing mail.• Partially dealing with accounts receivable.

This job deals with elderly clients.

The work environment is fun and the job and company is rewarding.

• Some evenings and weekends throughout the year would be required.

Job Type: Full-time

Salary: $30,000.00 to $45,000.00 /year


Requirements: • Excellent customer service and multi-tasking skills.• Previous experience in a busy front desk customer service capacity, including handling cash and credit card payments.• A degree in office management related field • A keen interest in fine art and/or antiques.• General understanding of art and antiques for purposes of vetting and marketing.• Strong computer skills (Word, Excel, etc.). Graphic design skills would be an asset as well as marketing.• Ability to manage difficult or emotional situations and identify and resolve problems in a timely manner.• Highly adaptable to changes in the work environment; manages competing demands; changes approach or method to best fit the situation; able to deal with frequent changes or unexpected events. • Ready to be challenged and take initiative.• Ability to handle pressure and stressful situations in a calm manner.• Good sense of professionalism.• Sensitivity when dealing with elderly clients.• Punctual, reliable, and committed.• Trustworthy and friendly.• Additional language knowledge skills an asset (eg. Mandarin, French).
