Job Description

The Marketing and Communications Coordinator acts as the lead for Scarborough Arts in the area of Marketing, Graphic Design, Social Media, Public Relations, Branding and external messaging and communications. The Coordinator will also support and conduct development and fundraising initiatives from time to time. The Coordinator is responsible, within parameters established by the Executive Director and Program Manager, for determining the methods by which the Scarborough Arts' overall marketing and communications directions, strategies and policies will be executed and the desired outcomes achieved. The ideal candidate is passionate about local communities and the power of community arts, while being a flexible and open-minded team player who thrives in a fast-paced, high-volume environment.

Requirements:

Marketing and Development (40%)
● The candidate will be develop and manage all program related website updates, social media content and blog posts, among other digital engagement content development 
● Produce, develop, implement and maintain an innovative, clear and accessible marketing strategy as set quarterly/annually by the SA leadership team
● Work with the SA Team to streamline and enhance internal and external communications
● Lead the SA Team in reaching out to and building profitable long-term relationships with prospective media partners and outlets, seeking advertising and media sponsorships, and in-kind support.
● Work to build long-term mutually beneficial relationships with and secure in-kind support from media outlets, local newspapers and news websites, and newsletters / bulletins from local community groups, BIAs and other grassroots organizations.
● Conduct routine program and organizational outreach on an ongoing basis finding creative, proven strategies for building audiences and garnering participants.
● Work within the set budget to further SA's messaging about its own programs, initiatives, exhibits, marketplace activities, volunteers, and other community initiatives and partnerships through new and best practice media channels - e.g., print advertising, Facebook ads, post boosts, publicity events, new media tactics, TikTok, etc.
● Develop marketing models and approaches that have the greatest return on investment (ROI).
● Keep track of all marketing initiatives, community / public requests and communications, ensuring that each segment of the strategy is working cohesively and is being covered in its own area of media reach
● Maintain SA official website and keep social networks up-to-date with the most relevant information, in a working condition that is easy to access, understand and has a user- friendly approach
● Collaborate with the SA Team on new media projects such as leading continued brand development, developing new fundraising events, and continuously promoting SA's programming and work to the broader community for the purposes of engagement and support
● A high level of proficiency in videography, photography, video editing, video engagement content, and a high level of understanding of ever changing social media outlets and advertising is considered an asset.
● Digital skills required as this role supports SA's program-related communications, design, and social media functions:

  • Advanced proficiency in the following programs preferred: MS Office Suite(Word, Excel, PowerPoint, Outlook, Teams); Gmail / GSuite / Google Docs,Sheets, Slides, Forms, Analytics; Canva; MailChimp, Square Space, etc.
  • Advanced proficiency in: Adobe Creative Cloud; other graphic design and database applications
  • Advanced proficiency in the following Social Media: Facebook, Twitter, Instagram, TikTok, LinkedIn, YouTube, and HootSuite.

● Supporting creative asset design by using Adobe Creative Suite / illustrator / Canva, and related design programs / platforms
● Liaising with stakeholders to collect data and manage digital mailing lists (MailChimp) and communications for participant engagement and registration
● Participating in COVID-19 program contingency planning and future organizational policy development around Marketing and Communication
●This position will require some availability during evenings and weekends for online program/workshops; lieu time is provided
●Other marketing duties as required.

Communication (30%)
● Responsible for designing and developing Scarborough Arts' signature monthly newsletter, our key communications piece, as well as regular e-blasts, press releases, program content, way finding signage, as well as any public communications messaging for SA's programs and projects.
● The Coordinator thinks strategically about communications deployment, demographics and key market data to enhance SA's presence, reach and impact
● Develop and maintain active, relevant mail and contact lists via Mail Chimp and other database / cloud systems as used by the SA, and steward data in accordance with the Canadian Anti-Spam Legislation (CASL) (2019) and the MFIPPA, as well as other relevant Canadian communications legislation
● Strong ability to synthesize and manage complex and demanding marketing schedules in collaboration with external partners on mid- to large-scale city-wide initiatives, with partners such as Nuit Blanche, Cultural Hotspot, ArtworxTO, etc.
● Act as an Ambassador on behalf of Scarborough Arts for the organization with press and media and all stakeholders

  • Actively engage with the press and media, keeping news stories focused on SA activities and initiatives

● Develop, implement and manage a social media strategy that involves Twitter, Facebook, Instagram, YouTube, LinkedIn, and others where necessary, posting daily/weekly where required, and responding with those who communicate with SA via social networks in a prompt, professional and timely manner and providing excellent Customer Service to all stakeholders when responding to inquiries as required
● Develop, implement and manage a Press and Media outreach strategy; sourcing and developing strategies that will benefit our media partners, program partners and sponsors/ funding agencies.
● Source opportunities to entice media to cover the activities of SA
● Maintain SAs archival records from press/TV/web blogs that mention SA its programs,and key community initiatives for succession planning and organizational memory
● Work in collaboration with SA staff to inquire about upcoming programs, events and initiatives worth communicating about from within the local Scarborough / GTA community
● Work on implementing new marketing and media initiatives in collaboration with the SA team, such as::new website design and implementation; MiCharity database installation and training; digital media strategies; augmented reality projects; accessibility initiatives (which enable a higher level of engagement among our constituents); SA Blog; SA podcast; etc.
● Build and maintain SAs digital calendar of arts and cultural events / happenings in Scarborough, and other projects and initiatives as developed
● Conduct and maintain ongoing communications with arts culture and service providers in Scarborough and Toronto, promoting their events and bringing their initiatives forward to SA staff.
● Maintain and keep SA official website and social media networks up-to-date with most relevant information in a working condition that is both user-friendly, and easy to access and understand
● Collaborate with SA team on AODA and accessibility initiatives; ensure media outreach and programming have access to accessible features and content to provide low-barrier programming to local constituents
●Other communications duties as required.

Program Support (20%)
● Support SA Membership and stakeholder outreach and communication with members and champions
● Support the outreach efforts and ongoing communications with regards to: SA Volunteers, SA Marketplace and Bluffs Gallery programming, core programs and special projects, annual general meetings, and other outreach projects / initiatives as assigned
● Provide program support, leading up to and during events and programs as required (set-up, communications, invitations, outreach, public engagements, etc.).

● Meaningfully contribute to the overall outreach strategy to ensure engagement in programs and initiatives.
  • Responsible for ensuring participants register, attend and partake in SA initiatives and programs; manages registration platforms and communicates with participants / answers inquiries on an ongoing basis.
  • Present and outreach at SA events and programs to communicate with prospective sponsors, media, guests, members and the general public.
  • Captures relevant social media content for posting and sharing at such events and programs.
  • Acts as an Ambassador for SA in all endeavors.
