ROLE STATEMENT
Position Title:   Marketing & PR Coordinator  
Department: Marketing  
Reporting to: Senior Marketing Manager  
Direct reports: NA  
Key Relationships: Chief Marketing Officer, Marketing Coordinators, Digital Marketing Coordinator, Programming Associates, Associate Producers, Designers, external partners and suppliers  
Type of Employment: Full Time  
 
Summary of Function:
Reporting to the Senior Marketing Manager, this position will be responsible for assisting with coordinating and executing marketing plans, trafficking of marketing materials and implementing critical paths for summer festivals and year-round programs. This position will also act as the on-site PR coordinator to manage media attending events and supports the external publicity firm’s activities. This role requires need excellent written and verbal communication skills. The successful candidate will be a self-starter who is confident taking initiative and ownership of projects.

Planning & Execution
  • Coordinates and assists with development of marketing plans for each project based on marketing strategies directed by the Senior Marketing Manager; works with team members to ensure assets are delivered on time
  • Executes plans by enforcing critical paths, coordinating the scheduling, processing and trafficking of marketing projects to ensure projects are completed in a timely manner, in line with department and project scheduling
  • Submit dockets and circulate to appropriate programming, production, planning and sponsorship participants; route projects for approvals
  • Ensure all marketing materials are strategically distributed across the campus at all times as well as at off-site locations in accordance with the marketing distribution plan
  • Develop, foster and maintain up-to-date niche and community outreach lists and relationships for various festivals.
  • Assist with on-site media coordination and accreditation; provide support to external publicity and PR firm
  • Assist with pulling lists and requested data in Tessitura
  • Assist other team members as required
Content Development
  • Develop target audience and outreach programs, mailing lists, and niche marketing opportunities
  • Work with the Senior Marketing Manager to coordinate campaign tracking measures, analyze metrics and prepare evaluation reports at the end of each campaign
Communications
  • Maintain centralized overview of each project’s status for the information of all participants; keep strict adherence to deadlines and ensure all parties are aware of timelines
  • Liaise with departments and outside groups to coordinate efficient and timely project processing
Work, Health and Safety (WH&S)
  • All staff are required to take reasonable care of their own health and safety and that of other personnel ( including volunteers and interns) who may be affected by their conduct.


Requirements:

Skills & Requirements
Essential Criteria
  • Post-secondary education in marketing, communications or business
  • 2+ years experience in a comparable role in an arts, non-profit organization
  • Strong oral and written communication skills including proof reading and meticulous attention to detail
  • Superior organizational, time and project management skills
  • Excellent interpersonal skills, and ability to work in a team environment
  • Creative, able to effectively coordinate online and offline marketing initiatives from implementation to completion
  • Knowledge of website and new media marketing are required as well as experience with Google analytics and other web analytics programs
  • This is a fast-paced environment and the ideal candidate will be able to multi-task and keep up with the ever-changing landscape of marketing and ticket sales strategies.
Desirable Criteria
  • Knowledge of Tessitura is preferred but not mandatory
