Job Description

Role Description: As the Finance & Administration Coordinator, you will be active and accountable in the below areas:

  • Operations & Office Administration: Pillar of organizational administration and office organization, providing internal support to all staff to increase overall efficiency & productivity.
  • Finance (Accounts Payable): Responsible for timely & accurate payments to all Unity stakeholders including but not limited to Vendors, Staff & Artists
  • Asset Management: Accountable for organizational inventory including equipment, stock, and financial & corporate documentation.


Overall Accountabilities
 



Operations & Office Administration

  • Primary point of contact at Unity Office 
  • Responsible for Corporate Calendar (Updating Unity Calendar to include all organizational events, e-mail notifications of office updates to stakeholders, reminders for upcoming deadlines etc.)
  • Assisting with Corporate Scheduling as needed
  • Daily Office Administration – Ensuring the office is suitable for work including but not limited to: office supplies, staff meetings, events & hospitality planning, office organization and cleanliness. 
  • Printing & preparing packages for program staff and/or upcoming events
  • Receiving & documentation of program information (attendance, evaluation, media)
  • Oversight of 2019/2020 Google Drive migration process.

Finance (Accounts Payable) 

  • Administration – Ensuring accurate completion of all payment requests, Uploading and Tracking of requests on the drive
  • Approvals – Issuing & filing of payment approvals via HelloSign
  • Payroll Approvals – for staff as artist payments
  • Documentation – Physical printing & filing of cheques
  • Distribution – In office or mail
  • Reconciliation – of Corporate Credit Cards, indicating Account, Location, Class, Description and Tax of each transaction
  • Documentation – Physical & electronic filing of ALL receipts

Asset Management

  • Responsible for tracking & use of corporate assets, equipment & supplies
  • Receiving & issuing corporate shipments/mail
  • Responsible for stock and distribution of program supplies and stock


Requirements:

Key Qualifications and Skills:
1-2 years of equivalent experience in a non-profit or art-based environment, or combination or equivalent experience considered an asset. 
 
Administrative & Technological Skills
  • Ability to develop and carry through organizational processes & policies
  • Exceptional attention to detail 
  • Self-directed with ability to organize, plan, and prioritize
  • High proficiency in Google Drive and Office Suite (Microsoft Word, Excel, Powerpoint and Google Drive equivalents)
  • Experience with cloud migration processes an asset
Time Management & Problem Solving Skills
  • Independently motivated, ability to see need and act upon solutions without direction
  • Strong ability to manage multiple competing priorities and deadlines
  • Resourceful and able to adapt to changing needs of the organization and its programs 
Communication Skills
  • Possess excellent written and verbal communication skills
  • Ability to engage in meaningful and timely interactions with all internal and external Unity stakeholders 
  • Comfortable speaking to diverse and influential audiences and adapting communication style as appropriate
