North York Arts

North York Arts is an arts service organization designed to address the needs and interests of North York artists, arts organizations, and residents, North York Arts is working in collaboration with North York City Councillors, Toronto Cultural Services and various community partners to foster North York arts programming, provide art services to the region and bridge connections in the art and culture community between North York and the rest of the City. North York Arts is mandated to serve 6 wards of Toronto.



Job Description

The Events & Program Coordinator (30hrs/week) will focus on coordination for NYA’s summer festival Cultura, taking place at Mel Lastman Square in North York and other NYA community programs. The position will report to the Festival Producer and Senior Program Manager and work closely with other NYA staff and events stakeholders. The role will also manage the marketing and social media plan for Cultura Festival. The work will require in-person and online interaction with artists and performance talent, the public and NYA team members. Heavy lifting of event equipment will be required.

Cultura Festival is on July 8, 15, 22 and 29 of July, from 4-11:30pm. In person work will be required on these days.

Key Responsibilities
  • Recruit and coordinate volunteers for NYA’s summer festival and NYA’s year-round programs
  • Plan and execute volunteer training, including safety training
  • Coordinate in-person event and festival logistics including tent set up, volunteer station, backstage support, technical support, communicating with the public during events, strike and clean up of events
  • Coordinate festival visitor services, such as wayfinding and info booth at the event
  • Manage Cultura Festival social media and marketing campaign (on and offline)
  • Engage with artists and third party stakeholders, as needed
  • Assist in event and festival evaluation
  • Coordinate external event and festival community participants
  • Support NYA’s Programming team with administrative duties including but not limited to program planning, preparation and data collection
  • Communicate NYA’s COVID-19 protocols to stakeholders and ensure the practices are followed at in person events.
  • Support NYA’s Comms team for effective program promotion and community engagement
  • Use NYA's online project management (Asana) and communications (GSuite) tools
  • Communicate and coordinate with NYA team on a regular basics
  • Coordinate accessibility requirements for NYA programs (ASL, large font print outs, etc.)
  • Other duties, as they arise


Requirements:

  • Experience coordinating and working for events (2+ years is desired)
  • Education in event or program management, is an asset
  • Experience in marketing, specifically social media management (other on and offline expereince is an asset)
  • Interest in arts, community and/or non profit work
  • Excellent communication skills (oral and written) 
  • Excellent interpersonal skills and experience working with a wide range of demographics and stakeholder groups
  • Experience working with artists, is an asset
  • Experience being proactive, accurate and reliable in the workplace
  • Ability to excel in a team environment
  • Experience with GSuite and Asana, is an asset
  • Understanding of accessibility as it relates to in person events is considered an asset
This position is funded through the Canada Summer Jobs Program through the Government of Canada (Federal). To be eligible, candidates must: 
  • Be 15 to 30 years of age at the time of employment 
  • Be a Canadian citizen, permanent resident, or person to whom refugee protection has  been conferred under the Immigration and Refugee Protection Act for the duration of  the employment 
  • Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with Ontario legislation and regulations


Additional Info:

  • NYA’s office is located at 5040 Yonge Street, 2nd floor (stair access only).
  • Staff work in a hybrid online/in-person model, with in person meetings on Wednesdays.
  • The successful candidate will be expected to use their own computer and smartphone for work purposes.
  • Evening and weekend work may be required, particularly during festival time.
  • New employees will be required to provide proof of full vaccination.
  • This contract is 12 week (until August 19), with a possibility for extension. $25/hour.
