Fusing high art and popular culture in concerts that juxtapose the best of each genre, Art of Time Ensemble entertains as it enlightens, revealing the universal qualities that lie at the heart of all great music. The company develops and presents performances in Toronto and across Ontario. Art of Time Ensemble has been invited to perform from Vancouver to St. John’s, has toured to 37 U.S. cities since 2015 and has released six albums.

The artists with whom the Ensemble has worked represent the finest in their genres, including writers Margaret Atwood and Michael Ondaatje; choreographers Peggy Baker, James Kudelka and David Earle; dancers Evelyn Hart, Rebekah Rimsay, Michael Sean Marye, and Piotr Stanczyk; singers Madeleine Peyroux, Jackie Richardson, Steven Page, Gregory Hoskins and Sarah Slean; actors Tom McCamus, R.H. Thomson, Ted Dykstra, Lucy Peacock and Julian Richings; and filmmakers Bruce McDonald, Peter Mettler and Tess Girard.

Job Description

The Director of Operations role is a career-shaping opportunity for a diligent and energetic arts administrator who has demonstrated competency in management and aspires to gain experience for executive leadership opportunities in the future. The Ensemble is at a turning point in its history and, over the next two to three years, will reinvent how it engages with audiences. At the outset, the DO role will focus on maintaining existing operations in support of the AD and the Board. In the longer term, the nature of responsibilities will become more strategic as the vision materializes and the organization matures. The successful applicant will
be eager to take part in this journey as a foundational growth experience for the organization and for themselves.

Art of Time Ensemble seeks an inspiring Director of Operations (DO) to work in collaboration with founding Artistic Director (AD) Andrew Burashko to continue the company’s exciting growth trajectory and pursue its ambitious strategic objectives, including broadening the diversity of its work. The DO will be responsible for all of the operational management of the organization, including leading the administrative, financial, and general operations. The DO will support the AD in developing connections within the municipal, provincial and national performing arts communities, and fostering relationships with key stakeholders in the areas of fundraising, advocacy and business development.

Key responsibilities include:

Strategic Planning
• Supports the AD in translating the strategic plan into an annual operations plan, tracking and reporting results on an ongoing basis.

• Attends all Board and Committee meetings.
• Collaborates with the Chair and Board Committee Chairs to schedule all Board and Committee meetings and draft all relevant agendas and reports, minutes all meetings and maintains the minute book, and prepares and distributes all associated materials required for these meetings.
• Working with the bookkeeper, makes CRA filings, the corporations branch and other legal filings when required and reports to the Board on those.

Government funders
• Supports the AD in maintaining the company’s relationship with municipal, provincial and federal government funders including organizing relevant meetings and filing documents as required.
• Collects and compiles information relevant to grant applications and reports. Supports the work of grant writing specialists, if and as needed, including inputting data as required and ensuring accuracy and completeness of accompanying financial and statistical data.

Financial Management
• Supports the AD in the drafting and presentation of all budgets.
• Monitors bank accounts, opens and responds to mail, reconciles business credit card(s) statements, pays bills, processes invoices for payment, creates invoices
• Liaising with AOTE Bookkeeper to support regular updates of management reports, providing regular financial updates to the Finance Committee (ie. Board IS, Notes to the Financials, Cash Flow Forecasts). Includes financial reporting, forecasting, analysis and accurate cash flow projections.

Programming and Production
• Prepares and executes agreements with all artists, unions and performance venues as required and maintains filing systems.

• Tracks all charitable donations in Sumac database (in consultation with the AD), issues tax receipts and letters of acknowledgment.
• Collects and compiles information relevant to Foundation applications and reports as required.
• Collects and compiles information relevant to corporate sponsorships as required and supports the work of the AD in producing corporate sponsorship annual update reports.
• Supports the Board with updated Fundraising financial tracking as required for meetings.
• Oversees all planning, logistics and event management for fundraising event(s) as required.
• Plans and executes annual individual giving fundraising campaign(s) as required.
• Ensures sponsorship deliverables are executed and crediting is up to date (website, printed programs, ads, etc.)
• Produces an Annual Report.

Operational Management
• Provides administrative support to the AD in overseeing the hiring, training, supervision and retention of competent, qualified staff and volunteers as required.

Marketing and Communications/Earned Revenues
• In collaboration with the AD, draft and send e-newsletters; create engaging general content for social media and maintain social channels.
• Maintenance and updating of the AOTE website and e-commerce store.
• Fulfillment of orders from AOTE e-commerce store (mailing physical CDs).


• Minimum five years of progressively responsible work experience in arts administration and/or non-profit management.
• Strong financial management skills and experience in creating, monitoring, and interpreting budgets.
• Experience and knowledge of marketing and communications activities.
• Experience with fundraising strategies and campaigns (preferred).
• Excellent stakeholder management skills.
• Superior organizational and administrative skills with a strong attention to detail and the ability to manage multiple competing priorities.
• Knowledge of local, provincial, and national performing arts communities.
• Demonstrated understanding of collective agreements and contracting issues.
• Ability to speak and write clearly and persuasively, and to comfortably serve as the primary support for the Board.
• High levels of energy, integrity and creativity.
• The sensitivity required to work in a creative environment.
• Proficient in MS Office, Google Suite, and possibly QuickBooks and Salesforce.
• Experience creating content for social media and managing social accounts (FB, IG, Twitter) and managing websites (Squarespace).

Additional Info:

Due to the pandemic, remote work from home is currently in place. The candidate must be able to supply their own telephone and reliable internet access for remote working. Once a return to work directive is in place, the candidate must be prepared to work in person from the Art of Time Ensemble office located at 596 St. Clair Avenue West.
