Tafelmusik Baroque Orchestra
Led by Music Director Elisa Citterio, Tafelmusik Baroque Orchestra is one of the world’s leading period instrument ensembles. Renowned for its dynamic, engaging, and soulful performances, Tafelmusik is also Canada’s most toured orchestra, having performed in over 350 cities in 32 countries. We are proud to call Toronto our home, and there we perform some 80 concerts each year in diverse venues across the city. The orchestra is joined in performances by the critically acclaimed Tafelmusik Chamber Choir and its director Ivars Taurins. Tafelmusik has an extensive catalogue of recordings and an impressive array of awards, including nine JUNOs. 
Tafelmusik also seeks to transport audiences to the baroque and classical periods through adventurous cross-cultural collaborations, on stage with Toronto’s Opera Atelier, and underground at its Haus Musik series. Tafelmusik musicians share their knowledge and experience through artist training initiatives such as the Tafelmusik Baroque Summer and Winter Institutes.

Job Description

This is a unique and exciting opportunity to join one of Canada’s most high profile and innovative musical ensembles at a pivotal moment in its history, with the appointment of Elisa Citterio as Music Director in the 2017-2018 Season.
We seek an experienced and detail-oriented Artist Services & Operations Coordinator to provide administrative and logistical support for the artistic and operations activities of Tafelmusik. The successful candidate coordinates all artist services (permits, visas, tax waivers, travel, accommodation, per diems, schedules); prepares artists’ payroll and pension data; administers artist and venue contracts/bookings and collective agreement timelines; manages an OPAS database; supports grant applications and artist tax reporting; and completes other administrative duties as required.  This role is ideal for a hard-working team member who seeks opportunities and experience in Arts Administration and/or Artist Management. This position involves evening and weekend work in line with orchestra and choir schedules.   
Reporting to the Director of Artistic Administration and Operations, the Artist Services & Operations Coordinator works closely with the Assistant to the Music Director and Operations team to fulfill all guest artist and extra musician services and communications with efficiency, timeliness, accuracy and attention to detail. He/she coordinates work permit/visa/travel authorization requirements and CRA tax waivers; travel, airport transfer, accommodation and per diem arrangements; program master sheets; artists’ schedule distribution and updates; schedule management for the Music Director; meeting and assisting visiting artists; preparing artists’ payroll and pension data for all engagements; and tracking all related accounts.  He/she attends to artist and venue contract administration, including the Tafelmusik Core Orchestra General Agreement, ensuring all timelines and requirements are met; completes monthly booking reviews and supplementary bookings with Tafelmusik’s home venue, Trinity-St. Paul’s Centre; and maintains orchestra/choir attendance and repertoire records. He/she manages an OPAS database; assists with grant applications and non-resident tax data; and supports the Operations Department as required.


Our ideal candidate is a highly organized, caring and collaborative professional, who has:
  • Minimum 3 years’ artist services and/or arts administration experience in a performing arts setting (music a definite asset)
  • Related post-secondary degree or diploma
  • Proven track record in coordinating multiple projects, details, budgets and deadlines with high professional standards, accuracy and attention to detail
  • Excellent computer skills with a thorough knowledge of word processing, spreadsheet, web-based applications, and database management; knowledge of OPAS a definite asset
  • An adaptable personality who can think proactively in a fast-paced, dynamic environment
  • Demonstrated ability to work respectfully and effectively with musicians, artists, venues, volunteers and staff
  • Caring people skills with an interest in building relationships with external partners
  • A high level of personal and professional integrity
