Canada’s National Ballet School is currently accepting applications for the one year, Full-time Contract position of
 
ADMINISTRATIVE ASSISTANT, EXTERNAL AFFAIRS
 
Reporting to the Manager, Stakeholder Engagement, the Administrative Assistant, External Affairs will support the Department of External Affairs and act as an Assistant to the Executive Director. This position functions within a fast-paced office environment encompassing a wide range of administrative and operational duties.
                                                                                                    
Major Duties and Responsibilities:
  • Schedule external and internal meetings;
  • Record and summarize meeting minutes;
  • Conduct research on market, prospective partners, vendors, best practices etc.;
  • Process invoices, internal expense forms and track payments;  
  • Co-ordinate travel for internal staff and external stakeholders;
  • Organize and maintain hard copy and digital files;
  • Input data and generate reports;
  • Maintain office equipment and supplies (i.e. checking inventory and ordering supplies);
  • Answer or direct internal and external inquires;
  • Performs other departmental duties as required.


Requirements:

Qualifications/Skills/Experience:
  • Post-secondary education in office practices/administration or a related field;
  • 2+ years in an administrative or related position;
  • Strong knowledge of MS Office (Outlook, Word, and Excel) and experience with relational databases i.e. Raiser’s Edge (data entry, data retrieval, and report generation);
  • Strong proof reading skills complemented by high calibre writing ability and organizational and time management skills;
  • Exceptional customer service/interpersonal skills, problem solving, and an ability to work with highly confidential information;
  • Fluency in French and/or experience in a dance environment or arts & culture sector would be considered a definite asset.
 
Successful candidates must supply Canada’s National Ballet School with a Police Reference Check in accordance with the School’s Child Abuse/Sexual Abuse Prevention Policy; this will be co-ordinated through NBS HR.
