Job Description

The primary purpose of this position is to encourage, maintain and maximize deep, meaningful engagement of Luminato’s volunteers. This includes implementing and managing the volunteer recruitment and retention strategy for the organization, building a comfortable and inclusive atmosphere where volunteers feel their experience is valued and valuable while delivering a consistent experience for our audiences.
Lead the development and engagement of the team’s core policies and procedures
In collaboration with the Ticketing & Audience Experience Manager, identify volunteer roles by venue that offer meaningful work for the volunteers with the aim of ensuring they’re well-informed of their specific tasks, event and venue details and the Luminato brand
Develop and implement a volunteer recruitment strategy including researching and identifying opportunities (i.e. job fairs, events, connecting with school boards)
Identify strategies to engage, retain and reward existing volunteers
Human Resources
Produce an interview plan that ultimately matches volunteers skills and interests with the needs of the organization
Receive and process volunteers requests from internal departments, ensuring that required roles are clearly defined before the request is approved
Ensure that volunteers are working in a safe and supportive environment, respecting Luminato’s policies and procedures as well as any external legislation or regulationsd
Scheduling and Resource Management
Manage the volunteer database: keeping volunteer accounts up-to-date and adding notes when necessary; creating roles and shifts; creating reports; and provide troubleshooting expertise
Interviewing prospective lead hands and creating a training plan that enables them to effectively lead a team of volunteers and speak about the Luminato brand and its events
Build procedures to quickly react to personnel issues and emergencies
Ensure that volunteers receive hands-on supervision and be available to lead conflict resolution for customers, staff and volunteers
Work with the Ticketing & Audience Experience Manager and the Accessibility Consultant to develop a training plan including objectives and expected outcomes
Seek out venues for training that are provided in-kind or at a low-cost
Create a training presentation that is concise and easy to retain, and that includes operational event info, health and safety, AODA and accessibility objectives and customer service
Collaborate with the Audience Experience team to develop volunteer check-in procedures and on-site orientation
Communication and Recognition
Work with the Marketing department to communicate upcoming opportunities to volunteers
Plan and implement volunteer recognition activities. If venues, services or hospitality are required, ensure that they are provided in-kind or at a low-cost
Conduct on-going evaluation of volunteer performance and the program at large, working with the Ticketing & Audience Experience Manager to review the program’s services and implement improvements

Qualifications and Experience
Excellent at communicating and writing
Previous volunteer management experience with preference given to those who have worked in a festival or cultural environment
Overseeing and coordinating a complex team of volunteers where resolving conflicts, managing people and scheduling volunteers are critical to the organization’s success
Demonstrated technical and financial acumen to operate volunteer database and manage budgets
Ability to thrive in a face-paced environment with varied house and quick deadlines
