Job Description

The Volunteer Assistant will work most closely with the Volunteer Coordinator and collaboratively with the Audience Experience & Volutneer Coordinator and Ticketing & Audience Experience Manager to implement the day-to-day operations of the volunteer program.
Provide ongoing admin support including responding quickly to a high volume of email, phone and in-person
Take notes and creating agenda items for meetings
Assist with reviewing and screening volunteer applications
Help manage the departmental database including maintaining volunteer records, schedules and performance notes
Assist in the supervision of volunteer teams
Liaise with internal departments on their volunteer needs
Help to create role descriptions, recommended shift schedules and ensure that the positions are filled
Handle confidential information in an ethical manner
Assist with the creation, coordination and delivery of volunteer resources across multiple venues
Facilitate proper communication channels for volunteer feedback during the festival
Assist with the daily operation of the office hub for the Audience Experience and Volunteer teams
Participate in conducting venue visits to check-in with teams
Write a post mortem report at the end of the contract 


Key Competencies
Highly proficient computer skills in Microsoft Office (Word, Excel, Powerpoint), as well as the ability to learn and manage the volunteer database
Ability to multi-task and solve problems quickly and on-demand
Excellent customer service, organizational and project management skills
Superior attention to detail
Excellent verbal and written communication skills
Familiarity with Toronto’s arts community and volunteer management experience an asset
Able to work independently and as part of the team

Qualifications and Experience
Proven experience working with contact or scheduling databases (experience with an online volunteer management tool is an asset)
1 or more years of proven experience supervising volunteers
Excellent communication skills (through email, in-person, and telephone)
Previous experience maintaining a heavy workload, successfully overseeing multiple projects at one time
Able to accommodate a flexible work schedule, evening work and weekend work is required
