Job Description

Waddington's is Canada's Auction House providing expert advice to Canadian and international clients across a diverse range of specialty areas, including: Canadian, Contemporary, International, Inuit and Asian art; Decorative arts, Fine Jewellery and Fine Wine. This position is based in Toronto, Ontario.
The Client Service/ Receptionist is a client-facing role, with chief responsibility for delivering excellent client service, administrative support, auctions/preview and event support, and general office duties as required. This position requires superb interpersonal skills, strong problem-solving capability, and a passion for working with the public.
Primary Duties
  • First point of contact for clients/visitors at reception
    • Determine visitor requirements and respond with appropriate solution (notify staff, provide information, assist with payment or registration, etc.)
    • Ensure visitors are aware of all events, newsletters, notifications, etc.
  • Answer calls to Waddington’s main number
  • Provide a ‘triage’ approach to answering calls to ensure clients are directed to the right people, or have their questions answered without being transferred.
  • Assist with follow-up phone calls or campaigns
  • Review email to info@waddingtons and either respond or forward to appropriate specialist or department
  • Process payments and coordinate checkouts with department specialists
  • Assist with managing client mailing lists/ databases
This position, like most of the company’s staff, is required to assist at auctions, previews and other events, which sometimes occur afterhours or on weekends.  These duties include:
  • Reception duties
  • Registering guests/bidders
  • Assisting with check-outs
  • Processing payments
 General Office Duties
  • Office opening and closure
  • Mail and shipping including coordinating with Waddington’s staff and shipping providers.


  • Microsoft Office Suite
  • Database management
  • Answering / transferring telephone calls
  • Superb client service
  • French language skills an asset
