Job Description
The Marketing & Communications Assistant will assist and support as a key contact for content and project development; material production; and internal, artistic and external partnerships; and in specific support of the Marketing Coordinator and, more specifically, the organization’s overall communications and marketing initiatives.
General Marketing
Help to create a master content plan for the 2018 festival and manage various production / printing timelines via a master critical path, working closely with the Marketing Coordinator and Graphic Designer to ensure timely and effective creation of festival collateral including but not limited to direct mail, online copy / updates, house programs, signage, e-newsletters and ancillary marketing materials
Be part of a team who reviews all outgoing communications to ensure accuracy, clarity and consistency with brand-language and company values across all departments; facilitate approvals as needed and ensure that all material are vetted and proofed before passing it to the Director of Communications for final review
Work with the Marketing Coordinator in the production of the organization’s marketing materials, ensuring accuracy and on-time delivery; follow work-back schedules, facilitate edits and help to gain final approvals
Continuously monitor best practices of our competitors and others in the industry, and beyond our industry, to deliver progressive, best-of-class communications strategies in a cost-effective and timely manner
Promote, develop and maintain positive, collaborative relations with external partners, vendors, and distributors
Represent the organization and its values at various community and/or business meetings to promote the organization
Be alert to the possibility of reaching communities beyond the original target audiences, and developing cost-efficient approaches to reach and engage them
Recognizing Luminato’s program will always be on a journey of evolutionary development, continually look ahead to the possibility of new audience relationships and devise ways to realize them
Provide daily administrative support to the team (indirect) and the Marketing Coordinator (direct)
Content
Curate and write marketing copy as needed, including, but not limited to online (web, email, social), direct mail (magazines, mailers, postcards), advertising (print, online, radio)
Help to review all outgoing communications to ensure accuracy, clarity and consistency with brand-language across all departments; Ensure that all material is vetted and proofed before passing it to the Marketing Coordinator and Director of Communications for final review
Support the development and maintenance of the organization’s online communications
Project Management and Material Production
Help to lead the production of the organization’s marketing materials, ensuring accuracy and on-time delivery; create work-back schedules, assign projects (where applicable), oversee event briefs, facilitate edits and gain asset approvals
Work with internal and external stakeholders to ensure deadlines are met
Source and negotiate contracts as required with external suppliers, media partners, designers, printers and media buyers
Support the Marketing Coordinator in sourcing print quotes, managing POs and invoices
Partnerships
With the Marketing Coordinator, collaborate with internal departments to understand their goals and how best to meet them within the marketing and communications materials and plan
Identify, research and compile data on prospective partners and sponsors that well align with Luminato’s programming
Contact current and prospective partners and sponsors to explain Luminato’s goals and negotiate mutually-beneficial partnership opportunities; document communications with partners and prepare reports at the end of the festival
Coordinate the distribution and delivery of assets and materials to arts organizations, venues, partners, tourism bodies and the City of Toronto
Brand Identity
Help to manage the brand assets and company’s style guide
Ensure the proper implementation of the company’s brand activities, both internally and externally, including positioning, messaging, branding and guideline
 
 

Requirements:

Qualifications
1 to 2 years project management expereince
Experience using content management systems (CMS), email platforms, and customer relationship management tools (basic HTML skills and basic image editing skills an asset) to optimize marketing effectiveness
Social media management in a professional setting
Proficiency in MS Office
Enthusiasm about or experience in not-for-profit and arts industry
Post-secondary education or equivalent experience in Marketing or a related field
