Prologue to the Performing Arts is a not-for-profit charitable organization that facilitates opportunities for young people to experience the performing arts within Ontario.

For 50 years, Prologue to the Performing Arts has been broadening the horizons of students in Ontario by introducing them to the world of the performing arts.
It all started in 1966 around a kitchen table, when five young mothers shared their dream about giving access to the best in the performing arts to all children in Ontario. 50 years later, Prologue delivers over 2,000 performances each season, reaching over 500,000 young people every year. 

Job Description

Organizational Profile:
Founded in 1966, Prologue to the Performing Arts (Prologue) is a not for profit charitable organization whose mission is to connect young people to live performing arts in schools and public venues; to work with artists, educators and community presenters to offer a wide range of diverse and accessible programming; and to advocate for equal access to the arts for all young people as a fundamental part of their education.  As a resource for artists, educators and community presenters, Prologue represents and promotes a select group of professional artists and companies to schools and communities.

The Position:
The Finance Coordinator reports to the Executive Director and is responsible for the timely and efficient management of the organization’s financial records.

Responsibilities Include:
  • Ensure that all financial transactions (receivables, payables, invoices, etc.) are accurately prepared and recorded
  • Ensure that all liabilities and receivables are kept current
  • Ensure that all bank deposits are prepared accurately and on a timely basis
  • Ensure that charitable donation receipts are prepared on a timely basis
  • Prepare artist payroll, verifying that sales billed, scheduled and performed agree with contracted amounts
  • Liase with Bank Manager and staff, as required
  • Prepare all tax reports and remittances on a timely basis
Financial administration of sales
  • Monitor public contract deposits
  • Record and track all sales by artists and buyers to ensure accuracy
  • Confirm contract details and pricing for accuracy
  • Reconcile sales figures against financials records on a regular basis
Monthly review and reporting
  • Reconcile accounts:
  • Bank and investment accounts against statements
  • Payables and receivables
  • Payroll accounts against Receiver General statements
  • Brief Executive Director on financial position monthly
  • Prepare monthly financial statements with budget comparisons
  • Prepare monthly analysis of actual/budget variances
  • Monitor and reconcile budgets for special events and projects, and assist in preparation of final budget reports
Assist with budgets and projections
  • Assist Executive Director to develop current and future year budgets, and to update projections quarterly
  • Assist Executive Director to project annual sales figures, and to review and update projections quarterly
  • Support preparation of financial and statistical sections of all grant applications
Year-end and audit
  • Prepare audit working papers
  • Work with auditor to ensure a smooth and accurate audit
  • Prepare T4s and T4 Summary at payroll year-end
Accounts receivable
  • Tracking incoming payments and obligations
  • Sending bill reminders and contacting clients to facilitate payment of invoices
Other duties as assigned by management


  • Post-secondary education in accounting, finance, business or related area
  • Minimum of two years’ experience in bookkeeping, accounting or financial management
  • Attention to detail and focus on accuracy
  • Knowledge of QuickBooks and/or other accounting software considered a strong asset
  • Knowledge of Salesforce and/or other Customer Relationship Management (CRM) products considered an asset
  • Excellent verbal, written and interpersonal communication skills
  • Interest in the arts, education and community engagement considered an asset
  • Background and experience in the not-for-profit sector considered an asset

Position Details:
The Finance Coordinator position is 2 days or 14 hours a week during regular hours of operation – Monday to Friday, 9:00am – 5:00pm. The salary will be commensurate with experience.
