Job Description

The Advancement Research & Operations Officer is responsible for the timely and accurate processing and receipting of all donations and sponsorship revenue as well as supporting department reporting and financial reconciliation.  You will also assist with maintenance of database records including merging and information updates, creating new records and producing research profiles.  The incumbent will be one of the advanced users of Tessitura on the Development team.


KEY DUTIES AND RESPONSIBILITIES

Gift Processing

• Donation processing in Tessitura and monthly financial reporting
• Execute re-pledging process for monthly donors
• Co-ordinate coding of on-account gifts transacted on the web and in Box      Office
• Co-ordinate coding of gifts received via general mail
• Create and maintain coding control document to collect required information for gift entry from development team members
• Be proficient with setup of pledges, billing plans, memberships, soft credits, tax receipts
• Charge credit cards and generate electronic fund transfer files for pledges
• Run weekly printing of business receipts and single and consolidated tax receipts, and deliver to development team members for fulfilment
• Maintain familiarity with basic CRA tax receipting rules and bring possible exceptions to the attention of the Senior Manager, Advancement Operations

Database Management

• Maintain up-to-date manual of data-entry protocols and business processes relating to Tessitura and gift processing and account setup
• Update contact information, contact preferences, and other constituent details in Tessitura
• Monitor audit lists in Tessitura and perform needed account maintenance
• Conduct record merges and constituent type/household conversions for sensitive customer accounts
• Assist Senior Manager, Advancement Operations with annual Tessitura contribution setup for each fiscal year

Reporting and Business Analytics

• Assist Senior Manager, Advancement Operations and accounting staff with the end-of-month donation reconciliation
• Assist auditors in collecting the required information samples to complete their tasks (i.e. providing copies of documents and explanation of donation processing matters etc.)
• Generate reports as requested by the development, accounting and finance staff

Prospect Management and Research

• Devise strategies for identifying and qualifying prospects in order to ensure the ongoing development expansion and renewal of the donor base
• Search for wealth indicators and be familiar with the various ways of identifying major gift prospects through internal data mining and other external research sources, which may include commercial services
• Proactively manage research workflow, including development of preliminary prospect lists, bulk account flagging, building of prospect accounts, and adding, updating, and retrieving information from prospect files
• Prepare research documents, including prospect background briefings, full individual and corporate profiles
• Co-ordinate database screening or data appends with assistance of Senior Manager, Advancement Operations
• Support special events and corporate teams with company profiles and building of prospect accounts
• Attend regular moves management meetings and respond to team research and record update requests
• Assist with development of preliminary prospect lists and bulk plan creation

Volunteer Management

• Manage, supervise, support and train administrative volunteer(s) responsible for filing of donation documents and receipt copies

Events

• Be prepared to represent the COC and provide customer service at performances and donor events as required
• Assist Donor Relations team and Special Events team with event staffing as required



Requirements:

● University degree, community college diploma or equivalent work experience related to fundraising or gift processing
● Computer proficiency and accurate data entry
● Experience with Tessitura, databases, transaction processing an asset
● Highly organized, detail oriented, focused, and persistent
● English comprehensive skills
● People skills, able to build and maintain relationships, and problem solve with diplomacy and tact
● Able to respect and maintain a high degree of confidentiality
● Consideration given to previous fundraising experience in the arts and an appreciation of opera as a cultural art form
