Job Description

The League of Canadian Poets is seeking a new Administrative Director to join our team. The Administrative Director is responsible for overseeing, administrating, and improving the systems in-office, including membership management, our annual Reading Funding Programs, Book Awards, Annual Conference and AGM, and general office management, including banking and financial management of these programs. This is the perfect role for a career administrator who is interested in the arts, and particularly poetry.
The Administrative Director carries out all the daily duties related to program management, helps create systems in the office to make work more efficient, provides effective solutions to the administrative challenges of a small office, and tracks/reports on vital organizational financial information. The AD also participates in yearly planning, and actively assists with emerging projects, issues and goals.
This position would be best suited for an individual who is self-motivated, and comfortable taking initiative on new projects and organizational developments. The Administrative Director will provide support for all League staff, and be comfortable managing and supporting operations as necessary, in coordination with the Executive Director. We are looking for a new staff member who is looking to be with the organization for at least two years.


Required Skills
  • Bachelor’s degree, preferably in business/arts administration or a similar field
  • Minimum 3-5 years of experience in administrative/financial/project management, preferably within not-for-profit or charitable sector
  • Detail-oriented and self-motivated individual with an ability to work with minimal supervision
  • Must be proficient in Microsoft Excel, Adobe Acrobat, QuickBooks or other bookkeeping software
  • Experience with database management
  • Experience in fundraising an asset
  • Bilingual in French and English an asset
  • A passion for poetry and the arts an asset
  • Will enjoy a friendly, small office working environment

Role Responsibilities 

Office Management

  • Oversee general office administration
  • Implement and maintain efficient administrative, financial, filing, and record-keeping systems
  • Participate in development of strategic plans, and improvement of policies and procedures
  • Manage and maintain membership database and records 
  • Prepare comprehensive monthly reports for National Council
  • Assist with staff/volunteer recruitment and management
  • Address member concerns and inquiries as they arise
Program Management, Oversight and Administration
  • Administer and oversee funding programs
  • Oversee administration of League’s annual awards and contests
  • Participate in planning of annual AGM and conference, as well as other League projects/events
  • Work closely with Communications Coordinator on promotion of membership and programs
  • Work closely with board, committees and juries
  • Compile statistical data for reports to National Council and granting agencies
Financial Administration
  • Oversee budgets of funding programs: review all funding requests, process and approve claims
  • Administer invoicing, membership payments, installment plans
  • Manage Accounts Receivable and Accounts Payable
  • Process deposits and prepare monthly reports of all credit card transactions
  • Maintain accurate donation records and issue receipts for charitable donations
  • Ensure financial compliance and record keeping for purposes of annual audit
  • Assist ED and auditor during audit
