Job Description

The Writers Guild of Canada, the national association representing more than 2,200 professional screenwriters working in English-language film, television, radio and new media, is looking for an experienced permanent full-time administrative assistant at our Adelaide and Spadina office in downtown Toronto.

Responsibilities:
  • Act as administrative support to the Executive Director, and the Executive Assistant as required
  • Act as Council and Delegate liaison for all meeting requirements and travel plans
  • Schedule meetings and coordinate related logistics such as room bookings, refreshments, and preparation of documents and pertinent information for Executive staff, Council and Delegates
  • Make travel arrangements for Council, Delegates and staff as required
  • Perform administrative duties for the WGC Screenwriting Awards and other functions as required
  • Update website as required
  • Maintain an accurate paper and electronic filing system
  • Assist with major electronic and paper mailings
  • Provide personal assistance to Council as required
  • Order office supplies and refreshments for meetings
  • Act as back-up to the Executive Assistant
  • Track and conduct follow up on issues as appropriate
  • Drafting, editing and proof-reading correspondence, presentations and reports as required
  • Answering telephone inquiries
  • Reception relief
  • Other duties as required


Requirements:

Qualifications:
  • A minimum of three years administrative assistant experience
  • College or university education
  • Excellent communication skills, both oral and written are essential
  • Travel and meeting/event planning experience required
  • Ability to set and meet tight deadlines in an environment of rapidly changing   priorities
  • Excellent interpersonal and organizational skills, including time management, and demonstrated professionalism, diplomacy, judgment and discretion in dealing with confidential or sensitive matters
  • Strong computer skills with advanced knowledge of MS Word, strong working knowledge of Excel and Power Point, and thorough familiarity with Outlook
  • Bilingualism is a definite asset. 


Additional Info:

The administrative assistant position is a permanent full-time position working 35 hours per week. An excellent benefits package is provided.
