TIFF is dedicated to presenting the best of international and Canadian cinema to film lovers in our home TIFF Bell Lightbox.  Our aim is to become a creative community and global leader, and one of the world’s premiere organizations in the discovery and understanding of film.

TIFF, a vibrant not-for-profit arts organization, is hiring for the full-time position of:


Reporting to the Manager, Bookings Office, the Assistant will be responsible for supporting the department in the event sales bookings at TIFF Bell Lightbox.


  • Oversee event inquires by email ( and phone
  • Follow-up on event inquiries,  Send online form, event checklist, guidelines and venue information; send emails of confirmation and answer general questions about TIFF Bell Lightbox
  • Assist in booking and scheduling TIFF Bell Lightbox
  • Organize event inquiries for approval; maintenance of documents
  • Prepare Event Estimates, execute event Contracts and process Deposit Invoices as required
  • NetSuite administrator for Hospitality & Event Sales department
  • Ensure event related information is accurately represented in event management system (Artifax) and is kept up to date
  • Follow-up with clients on status of events, hand over and debrief files to assigned Event Production Coordinators
  • Provide assistance with planning and execution of Event Sales new business initiatives i.e. Fam Tours, TIFF Bell Lightbox Showcases
  • Provide site visits/tours of TIFF Bell Lightbox
  • Assist the Booking Office Manager and Hotel Coordinator with administrative duties
  • Capture sales revenue on Hospitality & Event Sales tracker
  • Organize and maintain e-filing systems
  • Assist with the development and maintainence of department sales tools, policies & procedures
  • Support the execution of sales and marketing tactics ie) website, print & PDF materials
  • Assist with the creation of new business/revenue development
  • Compile departmental reports and revenue tracking
  • Submitting invoices/requesting PO’s
  • Keep departmental records up to date and accurate
  • Other duties as assigned

  • University degree, community college diploma or equivalent work experience
  • Minimum 1 year experience in the area of Event Sales, Hospitality, and Even Planning
  • Well developed administrative and organizational skills, with the ability to prioritize
  • Well developed verbal and written communication skills
  • Well developed interpersonal and public relations skills
  • Dynamic and outgoing personality with sound judgment and discretion
  • Professional manner and “can-do” attitude
  • Excellent attention to detail, budgets, timelines, and objectives
  • Strong project management skills
  • Ability to both work independently and in a team environment as well as the ability to both take direction and show initiative
  • Understanding and commitment to superior client servicing
  • Office administrative management an asset
  • Experience working in a non-profit arts organization considered an asset
  • Knowledge of database management an asset, specifically Artifax
  • Knowledge of financial software an asset, specifically NetSuite
  • Adaptable to a flexible work schedule including some evenings and weekends
