TIFF, a vibrant not-for-profit arts organization, is hiring for the position of:


The Arts Administration Intern will rotate between three departments throughout a 6-month term, in 2-month intervals. The intern will support TIFF’s Visitor Experience, Festival Village and Event Production departments. This is a unique opportunity for those interested in arts administration to learn and gain practical work experience from three different areas within TIFF.  The Intern will report to the Assistant Manager, Festival Services, Manager, Festival Logistics and Manager, Event Production.

Visitor Experience:

  • Providing administrative support including contract administration, scheduling, payroll and distribution of information to approximately 400 seasonal staff members.
  • Assisting with training manuals, training presentations and the execution of all training sessions.
  • Creating forms, memos and informational paperwork as required including using databases, online forms, web pages and spreadsheets.
  • Maintaining payroll information; inputting staff shifts into the payroll system accurately.
  • Creating and distributing administrative paperwork and supplies associated with the festival’s venue operations.
  • Overseeing volunteers as needed.
  • Assisting in the organization of departmental social events as required.
  • Other duties as assigned.

Festival Village:

  • Create and distribute administrative and informational paperwork as required including spreadsheets, staff schedules, emails, training documents, and signage. 
  • Assist with creation and distribution of production schedules.
  • Provide logistical support for supplier follow up on production progress, delivery and installation.
  • Provide event production support for programming, sponsor and partner activations during load-in, setup, activation period and load-out.
  • Oversee production office check-in for staff, volunteers and security during Festival operations.
  • Manage production office equipment inventory and rentals during Festival operations.
  • Assist with training presentations and training sessions.
  • Request and supervise volunteers as required.
  • Liaise with internal and external stakeholders as required including internal TIFF departments, sponsors, vendors, Security providers.

Event Production:

  • Assisting with the onsite execution of events including tasks associated with catering, AV, facilities, security, etc.
  • Assisting with event load-in, set-up, activation period, tear down, load-out.      
  • Providing administrative support related to event department
  • Gathering and coordinating content, materials and itineraries for programmes and events
  • Liaise with internal and external stakeholders as required including internal TIFF departments, external stakeholders, sponsors, vendors, security providers.
  • Maintaining storage spaces
  • Coordinate tours of facilities for clients and partners
  • Request and supervise volunteers as required.
  • Other duties as assigned by department staff


  • A student or recent graduate of an arts administration, events or applicable degree or diploma programme
  • Experience working in a fast paced, administrative environment
  • Excellent verbal and written communication skills, excellent phone manner and interpersonal skills
  • Ability to work both independently and in a team environment as well as the ability to take direction effectively
  • Proficiency with computer applications (Microsoft Office, Google applications, web-based file sharing programs, database applications, event management software preferred)
  • Ability to prioritize tasks while working under multiple, strict and tight deadlines
  • Professional and “can-do” attitude, with the ability to maintain efficiency and adapt quickly to change
  • Excellent administrative, organizational and planning skills with keen attention to detail
  • Strong customer service skills
  • Desire and ability to take initiative and coordinate projects
  • Experience in event planning and production, festivals, special events or venue operations an asset
  • Experience supervising volunteers an asset
  • Adaptable to a flexible work schedule including early mornings, evenings and weekends. Must be available for the Festival (September 7 – 17, 2017)
